Yet another demand by the National Association of Mortgage Field Services (NAMFS) Regime upon the Contractors to fatten their pockets. aspengrove™ – Aspen iRecord

The field services industry has been exposed to increasing regulation and in response a new solution is available to ensure compliance. All individuals completing field services work must be registered and have a background check meeting the established compliance standards. The industry has partnered with Aspen Grove Solutions to institute an industry-standard background check portal allowing for proof of compliance at point of service. This solution was introduced to the industry through the National Association of Mortgage Field Services (NAMFS) in September 2013.

 

All ServiceLink Field Services suppliers will be required to be registered through Aspen iRecord by Monday March 17th, 2014. After becoming registered, any individual including: employees, sub-contractors, and principals of the company performing field services work on behalf of ServiceLink will have to obtain a background check via the Aspen iRecord portal prior to performing work on any property.

Registration and Credentialing

The registration and credentialing process is detailed on the aspengrove site. Brief highlights of the process have been included below.

1.    Register your business with the Aspen iRecord portal*

2.    Upon confirmation from aspengrove of successful credentialing, register all individuals performing field services work on behalf of ServiceLink with the Aspen iRecord portal

3.    Review background check results for all individuals registered with your company as they are returned through the Aspen iRecord portal

4.    Record the unique ABC# (Aspen Background Compliance #) provided to each individual registered with your company

5.    Utilize the ABC# provided by Aspen iRecord to provide ServiceLink with confirmation that all individuals performing field services work have successfully met all background check standards required by Wells Fargo. See Providing Results to ServiceLink

*After registering your business, the credentialing process completed by First Advantage takes approximately five (5) business days before you can begin adding contacts (i.e. employees and sub-contractors) in order to begin the background check process.

Sub-contractors Working for Multiple Companies

Sub-contractors must be independently registered and credentialed if they work for multiple companies performing field services work. Your business can obtain a “connection code” through aspengrove which can be provided to your Sub-contractors allowing your company access to view aggregated background check results for your sub-contractors as well as all employees and sub-contractors registered to their business in the Aspen iRecord portal.

Results from Background Check

The results of a background check conducted through the Aspen iRecord portal will be returned within one of three background check compliance levels (BCL). These levels are BCL01, BCL02 and BCL03. Type of offense, frequency of convictions and timespan since last conviction are all considerations in determining the level each background check result falls into.

Wells Fargo will only accept level BCL01. BCL02 is acceptable but only with a minimum of one (1) individual on-site being BCL01.

ServiceLink FS is not responsible for monitoring the BCL level of an individual work is issued to at ServiceLink-serviced property. The supplier network must adhere to the Wells Fargo requirements prior to sending employees/sub-contractors to the property to perform work on behalf of ServiceLink FS.

Providing Registration Results to ServiceLink

Use the unique ABC# assigned to each individual to provide ServiceLink with confirmation all individuals at the property have successfully met all background check standards required by Wells Fargo.

Note: All individuals performing any work (including Quality Control) at a property must be reported as present through the update of results on the PCR or inspection form.

ServiceLink Background Checks

There are no changes to the ServiceLink Vendor Agreement as a result of this industry-driven solution to a client requirement. Background checks performed on principal owners will be performed as part of the ServiceLink on-boarding and review process. The actions required by Wells Fargo are in addition to the ServiceLink vendor governance processes.
